Stress-Free Wedding Planning: When to Book Stationery, Signage, and Styling

Planning a wedding should feel exciting, not like a last minute scramble to get everything printed, designed and delivered in time. One of the most common things I see is couples underestimating how long the visual side of a wedding actually takes, especially when it is bespoke.

This guide walks you through exactly when to book your wedding stationery, signage and styling so you can avoid stress, rushed decisions, and missing out on the designs you really want.

Important note: These timelines are for custom design work. If you are going down the pre designed or template route, turnaround times can be much shorter, but you will be sacrificing that fully personal, one of a kind feel.

Invitations: Start Earlier Than You Think

Your invitations set the tone for your entire wedding. They are the first glimpse your guests get of what is to come. With bespoke design, they take time to design, refine and produce.

When to send:

6 to 12 months before your wedding
12 months if it is a destination wedding

When to book or order:

At least 2 months before you plan to send them. This allows time for initial design concepts, revisions and tweaks, and printing, finishing touches and delivery.

If you are working with a designer on something completely bespoke, especially with unusual materials, finishes or formats, you may want to allow even longer.


On the Day Stationery and Signage: Don’t Leave It Too Late!

This includes everything your guests will see and interact with on the day:

  • Welcome signs

  • Seating charts

  • Place cards

  • Menus

  • Order of the day signage

  • Anything else printed!

These pieces often tie everything together visually, so they are worth doing properly, especially if you have a specific vision or theme in mind.

When to book or order:

At least 2 months before your wedding.

If you have your heart set on a particular designer or studio, especially one that specialises in alternative or non traditional work (aka me!), it’s a good idea to enquire even earlier. Good designers book up quickly, particularly during peak wedding season.

Leaving it late?

It is not impossible, but it is risky. You may find that your preferred designer is fully booked, there is not enough time for custom work, and you might need to choose a pre designed option instead. If you are cutting it close, always ask, but be prepared to compromise.

 

Special Touches: The Details That Take Time

This is where things get really fun and very bespoke!

We’re talking about those elements that really show off your personality:

  • Temporary tattoo favours

  • Vinyl record seating charts

  • Fabric banners

  • Hand crafted or unconventional materials

  • Anything deeply personal or completely custom

These aren’t off the shelf items. Often only a small number of designers or makers offer them (again, like me. Hint hint), and they require more time to develop.

When to book or order:

At least 3 months before your wedding, or more
